What this notice covers
This notice explains how we collect, use, and protect the personal data of school-based Careers Advisers who are verified to support their students on the 4Skills Work Experience Programme. It also describes what student data is visible to you through the Careers Adviser dashboard.
Information we collect about you
When you register as a Careers Adviser on the platform, we collect:
- Your name and email address (to create and manage your account)
- Your school name and URN (to link your account to your students)
- The date you accepted the platform Terms and Conditions
We do not collect special category data (such as ethnicity or disability information) about Careers Advisers.
How we use your information
Your personal data is used to:
- Create and maintain your Careers Adviser account
- Verify your association with your school and link you to your students' records
- Send you service-related communications about the platform and programme
- Maintain an audit record of account activity for security and compliance purposes
We will not use your information for marketing purposes without your separate consent.
Student information visible to you
As a verified Careers Adviser you have access to a dashboard showing students from your school who have enrolled on the programme. This access is necessary for you to fulfil your supporting role within the programme and is limited to students at your registered school only.
Through the dashboard you can see:
- Student name and email address
- Enrolment date
- Programme and module progress (completion percentage and per-step status)
- Completion date, where applicable
- The full content of completed step submissions — including written answers, any files the student uploaded, and AI-generated feedback stored against each submission
- Feedback ratings and comments voluntarily submitted by the student
- Notes you have added to a student's record
You cannot see:
- A student's date of birth
- A student's gender, ethnicity, religion, sexual orientation, or any SEND information
This restriction is applied to protect the privacy of all learners, particularly under-13 students for whom enhanced data protection applies.
Lawful basis for processing
We process your personal data and enable your access to student data on the basis of Contractual Necessity (UK GDPR Article 6(1)(b)). Your Careers Adviser role is integral to the delivery of the programme; processing your account data and providing access to student progress is necessary to fulfil the platform's service to your school.
For service-related communications (account notifications, platform updates), we rely on Legitimate Interests (Art 6(1)(f)).
Third parties and data storage
Your personal data is stored within the United Kingdom on Microsoft Azure infrastructure certified to ISO 27001:2022. We do not transfer your personal data outside the UK.
Authentication is managed via Microsoft Entra ID CIAM. We use Postmark for transactional email delivery; Postmark operates under EU Standard Contractual Clauses (SCCs) approved by the UK ICO. No other third parties have access to your Careers Adviser account data.
How long we keep your information
Your Careers Adviser account data is retained for two years from the date your account was last active, or until you request deletion. After this period your data is securely deleted. If your school leaves the programme, we will contact you regarding deletion of your account data.
How we keep your information safe
All data is encrypted at rest and in transit. Access to the platform requires authenticated sign-in via Microsoft Entra ID CIAM. Role-based access controls ensure that your Careers Adviser account can only access data for students at your registered school. We conduct regular security testing and operate under an ISO 27001:2022 certified Information Security Management System.
Please keep your account credentials confidential and do not share your login details with anyone. Contact us immediately at data@getmyfirstjob.co.uk if you believe your account has been compromised.
